Validation & Troubleshooting
Common Validation Errors
Error: Duplicate Code Found
- Cause: Same item_code/customer_code/supplier_code exists multiple times
- Solution: Make codes unique; use suffixes like -01, -02 if needed
Error: Invalid Email Format
- Cause: Email doesn't contain @ or has invalid characters
- Solution: Correct email format or leave blank if not available
Error: Customer/Supplier/Item Not Found
- Cause: Referenced code doesn't exist in master data
- Solution: Upload master data first, or correct the code in transaction file
Error: Invalid Date Format
- Cause: Date not in DD-MM-YYYY format
- Solution: Format all date columns as DD-MM-YYYY in Excel before saving
Error: Invalid GST Number
- Cause: GSTIN not in 15-character format
- Solution: Verify GSTIN format: 2-digit state + 10-digit PAN + entity code + checksum
Error: Mandatory Field Missing
- Cause: Required field is empty
- Solution: Fill all mandatory fields marked with * in template
Error: Invalid Numeric Value
- Cause: Text in numeric fields (quantity, rate, amount)
- Solution: Ensure numeric fields contain only numbers
Tips for Smooth Migration
- Start Small: Test with 10-20 records first
- One Type at a Time: Don't mix multiple master types in one file
- Clean Before Upload: Fix data quality issues in source before migration
- Keep Backups: Save original files before making changes
- Document Custom Fields: Note any custom mappings for future reference
- Verify Incrementally: Check each master upload before moving to next
