How to Edit Approval Workflow

Overview

Modify existing approval workflows to adjust value brackets, change approval chains, or update authorization hierarchies. Changes take effect immediately and apply to all new transactions created after the update.

Prerequisites

Before editing an approval workflow:

  • User has "Manage Approval Workflows" permission in BizAdmin
  • Understanding of current workflow configuration
  • New approval requirements documented
  • Impact assessment completed (who gets affected)

Important Considerations

Impact of Editing Workflows

Immediate Effect: Changes apply to all new transactions created after saving the edit

Pending Approvals: Transactions already in approval process continue with the old workflow rules they started with

No Retroactive Changes: Completed approvals remain unaffected

Plan Carefully: Communicate changes to affected users before implementing

Step-by-Step Guide

Step 1: Locate the Workflow to Edit

  1. Login to BizAdmin portal
  2. Click Access Control from the left sidebar
  3. Select Approval Workflows
  4. Main workflow list displays all configured workflows

Filter to Find Workflow (Optional):

  • Use Workflow dropdown at top to filter by type
  • Scan the list for the workflow you need to edit
  • Check Department, Workflow type, and value ranges to confirm

Step 2: Open Edit Mode

Two Ways to Edit:

Method 1: From Main List

  • Locate the workflow row in the table
  • Click the Edit icon (pencil icon) in the Action column

  • Details panel expands above the list
  • Shows complete workflow configuration
  • Click Edit icon (pencil icon) next to the workflow details
  • Edit form opens

Edit Form Opens showing:

  • Current workflow type (read-only, cannot change)
  • Current department selection
  • All existing value brackets and approval flows

  2. Click Add button (bottom right) to save changes
  3. System validates the updated configuration
  4. Changes saved and activated immediately
  5. Form closes automatically
  6. Updated workflow appears in the main list

Immediate Effect: All new transactions created after this point will use the updated workflow rules.

Step 9: Verify the Update

Check Updated Workflow:

  1. Locate the workflow in the main list
  2. Click to expand Details panel
  3. Verify all changes reflected correctly:
    • Value brackets updated
    • Approval flows show new configuration
    • Department selection correct

Test the Updated Workflow:

  • Create a test transaction matching the workflow
  • Verify routing goes to correct approvers
  • Confirm multi-level chain works as expected
  • Check "No Approval" brackets auto-approve

  5. Configure approval flow: L2-Purchase → L3-Finance (two levels)
  6. Save changes

Result: Three-tier approval structure implemented

Scenario 3: Change Department Ownership

Current Configuration:

  • Purchase Order workflow for "Admin" department
  • Single bracket: ₹0-₹10,00,00,000 → L2-Admin

New Requirement:

  • Move to Purchase department control

Steps:

  1. Open workflow for editing
  2. Change Department dropdown: Admin → Purchase
  3. Update approval flow: L2-Admin → L2-Purchase
  4. Save changes

Result: Purchase department now owns this approval workflow

Scenario 4: Switch from No-Approval to Required

Current Configuration:

  • ₹0-₹25,000: No Approval Required (checked)

New Requirement:

  • All sales orders need at least Sales Manager approval

Steps:

  1. Open workflow for editing
  2. Uncheck "No Approval Required" checkbox
  3. Click + in Approval Flow column
  4. Select L2-Sales from dropdown
  5. Save changes

Result: Even low-value sales orders now require approval

Handling Complex Changes

Restructuring Multiple Brackets

When to Restructure:

  • Major policy changes affecting all value ranges
  • Consolidating too many brackets into simpler structure
  • Complete redesign of approval hierarchy

Best Practice:

  1. Document new structure on paper/spreadsheet first
  2. Consider deleting old workflow and creating new one
  3. If editing, work top to bottom through brackets
  4. Save frequently if doing major changes

Migrating Between Departments

Scenario: Moving workflow from "All" to specific departments

Approach:

  1. Keep original "All" workflow active
  2. Create new workflows for specific departments
  3. Test new department-specific workflows
  4. Delete original "All" workflow only after verification

This ensures no approval gaps during transition.

Validation & Error Prevention

Common Mistakes to Avoid

Overlapping Value Ranges:

  • Bad: Bracket 1 ends at ₹100,000, Bracket 2 starts at ₹100,000
  • Good: Bracket 1 ends at ₹100,000, Bracket 2 starts at ₹100,001

Gaps in Coverage:

  • Bad: ₹0-₹50,000, then ₹100,001-₹10,00,00,000 (missing ₹50,001-₹100,000)
  • Good: Continuous coverage with no gaps

Wrong Approval Sequence:

  • Bad: L3-Finance → L2-Purchase (reverse hierarchy)
  • Good: L2-Purchase → L3-Finance (proper escalation)

Empty Approval Chain:

  • Bad: Unchecking "No Approval Required" but not adding approvers
  • Good: Either check "No Approval" or configure approval flow

Impact on Pending Approvals

How Edits Affect In-Progress Transactions:

Transaction StatusImpact of EditBehavior
Not Yet CreatedFull impactUses new workflow rules completely
Pending ApprovalNo impactContinues with original workflow it started with
ApprovedNo impactHistorical data remains unchanged
Draft/SavedMay varyWhen submitted, may use new or old rules depending on system design

Best Practice: Communicate changes to users so they understand approval routing for transactions in different stages.

Post-Edit Communication

After making changes:

Notify Affected Users:

  • Department heads whose workflows changed
  • Users who create transactions requiring approval
  • New approvers added to chains
  • Removed approvers who no longer need to review

Update Documentation:

  • Internal approval policy documents
  • Training materials referencing approval limits
  • Process flowcharts showing authorization paths

Monitor Initial Impact:

  • Watch for transactions getting stuck due to unassigned approver roles
  • Check if users are confused by new routing
  • Verify approval turnaround times remain acceptable

Troubleshooting Edit Issues

Problem: Changes not taking effect

  • Check: Did you click Add/Save button?
  • Solution: Re-edit and ensure you save the changes

Problem: Transactions routing to wrong approver

  • Check: Is the user assigned to the correct role?
  • Solution: Go to Manage Users and verify role assignments

Problem: Cannot delete a bracket

  • Check: Do you have at least one bracket remaining?
  • Solution: Workflows need at least one configuration. Edit rather than delete.

Problem: Edit button is disabled/grayed out

  • Check: Do you have "Manage Approval Workflows" permission?
  • Solution: Contact administrator to grant necessary permissions

Problem: Department dropdown shows wrong options

  • Check: Are departments properly configured in Organization > Departments?
  • Solution: Create missing departments before configuring workflow

Frequently Asked Questions

Q: Can I change the workflow type from Purchase Order to Sales Order?

A: No, workflow type cannot be changed after creation. You must delete the workflow and create a new one with the correct type.

Q: What happens to pending approvals when I change the approval chain?

A: Pending approvals continue with the original chain they started with. Only new transactions use the updated chain.

Q: Can I temporarily disable a workflow without deleting it?

A: Not directly. You can set all brackets to "No Approval Required" as a temporary workaround, or delete and recreate when needed.

Q: How do I know which transactions will be affected by my edit?

A: Only transactions created after saving your edit will use the new rules. Check the audit log to see when the workflow was last modified.

Q: Can I undo changes after saving?

A: No automatic undo. You must manually edit again to revert to previous configuration. Consider documenting original settings before major changes.

Q: Is there a limit to how many times I can edit a workflow?

A: No limit. You can edit as many times as needed. Each edit is logged in the audit trail.

Q: Can I edit multiple workflows at once?

A: No, workflows must be edited individually. Plan batch changes carefully to maintain consistency.

Q: What if I accidentally delete all approvers?

A: If you uncheck "No Approval Required" but don't add approvers and save, transactions may get stuck. Always ensure either "No Approval" is checked OR approval flow is configured.
