Using Workspace day to day

Workspace opens on every document you can access, on every plan. There's nothing to enable — you'll see the activity feed the moment you open a quotation, order, invoice or other document.

Workspace is where your team talks about a document and keeps track of what has happened on it. This page covers the everyday moves: reading the timeline, leaving a comment, tagging a colleague, and knowing who has already seen an update.


How do I open a document's Workspace?

  1. Open any document — a quotation, sales order, purchase order, invoice, and so on.
  2. Look for its Workspace (the activity feed beside or below the document).
  3. The timeline shows every activity on that document, most recent in view.

Each document has its own Workspace. What you write on a sales order stays on that sales order.


Reading the activity timeline

The timeline is the document's running story, top to bottom. Every entry tells you three things at a glance:

  • What happened — a comment, a status change, an approval, an email sent, an update, or a follow-up.
  • Who did it — the name of the person (or the partner) behind the activity.
  • When — the time it happened.

Some entries carry a little extra, so you don't have to go looking:

How do I add a comment or note?

  1. Open the document's Workspace.
  2. Type your message in the comment box.
  3. Send it.

Your comment appears in the timeline straight away, with your name and the time, for everyone who can see that document.

Use comments for the questions and decisions that belong to the document — "Can we hold this order until Friday?", "Approved by phone, raising the invoice now." Because they live on the document, the next person who opens it has the full context without asking.


Can I tag a specific teammate?

Yes. When you want a particular colleague to notice a comment, tag them in your message. Tagging points the comment at that person so it's clear who needs to act, instead of hoping the right person reads the feed.


Who has seen it? Read receipts

Workspace records who has opened a document's feed, so you can tell whether your message actually landed.

  • When a teammate opens the document's Workspace, that's noted as them having seen the latest activity.
  • If something new has happened since you last looked, the document shows as having unread activity — a quick signal that there's something to catch up on.
  • Once you open it, it's marked as read for you.

This is what replaces "did you get my message?" — you can simply see whether they've been in.


Working with a partner on the document

When you share a document with a customer or supplier through DealFlow, their side of the conversation flows into the same feed:

  1. You share the document and, say, leave a comment explaining it.
  2. The partner reads it, and replies or approves on their side.
  3. Their reply and their decision appear in the document's Workspace, alongside your team's activity.

A couple of things worth knowing:

  • Internal notes stay internal. A note meant for your own team is not shown to the partner. Messages meant for the partner are sent deliberately — Bizconnekt confirms before anything leaves your business.
  • The partner sees their own conversation only. If you shared the same document with more than one party, each party sees only their own thread, never the others'.

Tips for getting the most from Workspace

Good habits

Keep the discussion on the document, not in email — the next person to open it inherits the whole story.

Tag the colleague who needs to act, so a comment doesn't sit unread in a busy feed.

Check for unread activity before you follow up — the read receipt may already answer "have they seen it?".

Leave a short note whenever you change a document's status by hand, so the "why" travels with the "what".
