DealFlow — share & approve

DealFlow is where the deal actually happens — with your customer on it. You share a document by link; your customer opens it on their phone, reads it, and approves or rejects it — no signup, no app to install. Every share, view, and decision lands back in one place: the DealFlow page in your sidebar, with the running conversation beside each document.


Share a document

Seven document types can be shared: Quotation, Invoice, Sales Order, Purchase Order, Bill, Delivery Challan, and Credit Note. Open one and click Share.

If the button is greyed out, hover it: it tells you why — for example "Only approved documents can be shared." or "A draft document can't be shared." Once a document has been edited after you shared it, the button turns amber and reads Share update, reminding you a recipient is still holding the older version.

In the Share dialog:

  1. Pick who gets it under Customer contacts — the customer's saved contacts appear as selectable chips with the primary one already selected. Use Add new contact to type in another email. You can select more than one recipient.
  2. Choose Send the link via. Email from Bizconnekt — Bizconnekt emails the link for you — is always offered; leave Send email directly ticked to send straight away, or untick it to edit the email first. On a phone, when exactly one recipient is selected, two more options appear: WhatsApp (needs the contact's phone number) and Email (opens your mail app).
  3. Optionally change Link valid for (7, 15, 30, 60, or 90 days; 30 is the default). Re-sharing reuses the same active link until it expires.
  4. Click Share with [recipient].

You can also copy one shareable link for the document — the dialog shows Or generate a shareable link (first time) or Copy document link (once a link exists). Anyone holding that link can open the document to view it.

If your plan has a monthly share allowance, the dialog shows a "4 / 10 shares this month"-style meter and points you to upgrade when you reach the limit.

The "Shared with" list

The same dialog keeps a Shared with list — the deal's memory. Each recipient shows a status badge (SENT, VIEWED, ACCEPTED, CONVERTED, EXPIRED, or REVOKED), whether the link went out by email or WhatsApp, how many times it's been opened, and per-recipient actions. A separate amber Updated badge appears when the document changed after that recipient approved it, so you can see their approved copy is out of date.

  • Send update — push your latest edits to a recipient who hasn't responded yet.
  • Re-share updated — for a recipient who already approved an older version: replaces their link with the current one so they review and approve again.
  • Revoke — cuts that recipient's access. Revoke works while the document is still only shared with them. Once they have filed it into their own books it is a mutual record and can no longer be taken back — their filed copy stays theirs.

What your customer sees

The link opens a clean, branded page with your company name on it — the full document preview, a Download PDF button, and an action card headed with the name of the person who sent it, for example "Priya is waiting on you" (it reads Take Action when no sender name is available). On the card they can Approve or Reject.

The first time they act, they verify their email — no password, no account. They tap the address the document was shared with (it's pre-selected when there's only one), receive a 6-digit code, enter it, and their decision is recorded on the spot ("You approved this document.").

Anyone holding a live link can read the document without verifying — that is true of every share link, so treat a forwarded link as readable by whoever receives it. Deciding is different: only the email addresses the document was shared with can approve or reject it, and only after the code.

Because it's a web page, there's nothing to install — it works the same on a phone, tablet, or computer.

After verifying, they're offered Open in Bizconnekt — a free space where every document you've ever shared with them lives together, with the deal chat alongside. They can Dismiss it and stay on the plain document; nothing is forced.


The deal chat

Every shared document carries a conversation — the same thread for both sides, so questions and answers stay attached to the deal instead of scattering across email and WhatsApp.

Inside Bizconnekt the conversation sits next to the document. When you open a document a partner shared with you, a teal Shared by [partner] strip sits above the document itself with Approve and Reject on it, so you can decide without leaving the view.


Your DealFlow page

Biz View → DealFlow (/biz-view/dealflow) is your home for every shared deal — the ones sent to you and the ones you shared — as a document list with the conversation beside it.

  • The Parties rail down the left (a horizontal party selector on a phone) is headed Parties and groups the deals on the list you're currently looking at — it says how many relationships are on this page. It shows All parties plus one entry per counterparty, tagged Customer or Supplier, with that party's most recent document and an orange badge counting anything waiting on you. Tap a party to narrow the list to just them.
  • The scope tabsAll, Customers, Suppliers, and Needs my action — filter by what you care about right now. Needs my action carries a count of shares still waiting on your decision. Beside them sit a document-number search box and a document-type filter.
  • Each row is a shared document, labelled From [partner] when it was shared with you, Shared with [email] when you sent it to a person, or Shared via public link when it went out as a copyable link.
  • Opening a received document gives you the whole decision on one screen: the document on the left, the conversation on the right, any attachments in a strip under the document, and a bar pinned along the bottom with Request change, Reject, and Approve. Request change doesn't decide anything — it drops you into the chat with the cursor in the message box so you can say what needs to change.
  • Opening one of your own documents gives you Chat and Document View as tabs instead.
  • Messages to a partner are deliberate. Before anything leaves your business, a confirmation asks "Send to partner?" and warns that the partner will see it immediately — nothing goes out by accident.

File a received document into your books

There are two different moves, and they are not the same thing:

  • Convert is a move on one of your own documents — it advances that document to its next stage.
  • File is a move on a document someone sent you — it mirrors their document at the same stage onto your side of the deal.

Filing is what turns a document someone sent you into a real document of your own, with its own number, feeding your inventory and accounts exactly as if you had raised it on the form:

Anything else is booked as your own copy of the same document.

On the shared document's own page the action appears as a card headed File into your books with a File button. Once it's done the card reads Filed into your books and offers a link straight to the document it created — and that document stays yours even if the sender later revokes the share. If you're still a guest, the same card offers Set up & file, which registers your business first.


Guests and registering

Someone who receives your documents but isn't on Bizconnekt gets a guest view. After verifying their email — at the share link, or any time at /share/loginView shared documents — they land in DealFlow and see everything ever shared with their email address, marked with a Guest user badge.

The guest sidebar shows what's still locked: opening Leads, Enquiry, Customer, Quotation, or Invoice, or the Register now card, brings up Register your business (free). Registration asks for their company name and their GST number — the GST autofills the rest of the company details — and finishes with the Terms of Service tick and Create account.

Two things are worth knowing before they start:

  • One GST can be registered only once. If their company is already on Bizconnekt, registration is refused with a message telling them to ask that company's admin to add them as a user. They can also go to the Sign up page and enter the same GST there, which offers to Send Add User Request to Business Admin on their behalf.
  • Registering does not move their received documents into the new company's books. Everything shared with their email stays with them personally and is still there afterwards — nothing is lost. A document becomes company data when someone files it, which is deliberate: the business decides what enters its books.
