An employee record is a single, tidy page for one person on your team. Instead of a phone number here and a bank detail on a stray slip there, everything about that person lives in one place — and you update it as things change.

This page explains what each record holds. The step-by-step guides for adding and managing records are linked at the bottom.

What a record holds

Each employee record is organised into a few simple groups. You only fill in what you have — the basics are enough to get started, and the rest can be added later.

Basic details

The essentials — who the person is and how to reach them.

  • Employee ID — a reference number that's created for you automatically, so every person has a unique tag without you having to invent one.
  • First and last name
  • Email and mobile number
  • Date of birth and gender
  • Date of joining — the day they started (and a date of exit if they've since left)
  • Department — the team they belong to, such as Sales or Accounts

Emergency contact

A name and number to call if something happens to the person at work. It's just one contact, kept handy for peace of mind.

Bank details

Kept on file for reference — the bank name, account number, IFSC code, branch, and the account-holder name. This is a record you keep, not a payment being made.

Statutory details (India)

The compliance numbers you're required to keep on file — PAN, Aadhaar, UAN, and the ESIC and PF account numbers. Having them stored against the person means they're ready when you need them.
