Viewing and Editing Employees

The Employees list is your team at a glance — everyone you've added, in one place. From here you can find a person quickly, open their record to read or change it, and mark anyone who has left so they stop cluttering your everyday lists.

Step 1: Open the Employees list

From the left sidebar, open People, then Employees. The list shows everyone on your team, with their key details in columns so you can scan down and find who you need.


Step 2: Find the right person

For a short team you can just scan the list. As your team grows, two tools make it quick:

  • Search — start typing a name and the list narrows to matches as you type.
  • Filter — narrow the list by details such as department, so you see just the group you're interested in.

Together these let you jump straight to one person, or pull up a whole team, without scrolling.


Step 3: Open a record to view it

Click a person's row to open their record. You'll see everything on file for them — basic details, emergency contact, bank details and statutory numbers — laid out in the same groups you filled in when you added them.

This is a read-first view: you can check anything without changing it.


Step 4: Edit a record

To change something, open the record and click Edit. Update any detail — a new phone number, a change of department, a bank detail you didn't have before — then click Save.

Your changes take effect straight away, and the updated details show everywhere the person appears.

Keep the department up to date when someone moves teams. It keeps your lists and filters accurate, so the right people always show up together.


Step 5: Mark someone who has left

When a team member leaves, you don't delete their record — you keep it for your records and simply mark the day they left.

  1. Open the person's record and click Edit.
  2. Set the date of exit to the day they left.
  3. Click Save.

From then on, that person drops out of your everyday lists of current team members, so you're only looking at people who are actually with you now. Their record stays safely on file, so your history stays complete and you can still look them up whenever you need to.


Common questions

Can I delete an employee entirely? The recommended way is to set a date of exit rather than delete. That keeps your history intact while removing the person from everyday lists.

I updated a record but still see the old details. Make sure you clicked Save after editing. If it still looks wrong, reopen the record to confirm the change was saved.

Someone who left is still showing in my lists. Open their record and check the date of exit is set. Once it is, they'll drop out of the current-team lists.
