How to Add an Employee
Adding an employee creates a single record for a new person on your team. You fill in what you know, and you can always come back and add the rest later. Only a few details are required to save — the name and the basics — so getting someone on file takes a minute.
Availability depends on your plan and your role.
Before you start
- You need permission to manage People. If you don't see the option, ask whoever manages your account.
- Have the person's basic details to hand — their name, and ideally their joining date and department. Everything else can follow later.
Step 1: Open the Add Employee form
From the left sidebar, open People, then Employees. On the Employees list, click + Add Employee.
A blank form opens. You'll notice the Employee ID is already filled in for you — it's created automatically, so you never have to make one up, and no two people can end up with the same one.
Step 2: Fill in the basic details
This is the only part you must complete to save. Start here.
- First name and last name — the person's name. (Required)
- Email — their work email address.
- Mobile number — a number to reach them on.
- Date of birth — pick it from the calendar.
- Gender — choose from the list.
- Date of joining — the day they started. Pick it from the calendar.
- Department — the team they belong to, such as Sales or Accounts. Choose from the list.
You can leave a field blank if you don't have it yet and come back to it. Only the name is strictly needed to save the record.
Set the date of joining and department now if you can. They make it much easier to find the right person later, and they keep your team lists organised from day one.
Step 3: Add an emergency contact
Enter one name and one phone number for someone to call if there's ever a problem at work. It's optional, but it's a small thing that's very good to have on file.
Step 4: Add bank details (for reference)
If you'd like to keep the person's bank details on record, fill in:
- Bank name
- Account number
- IFSC code
- Branch
- Account-holder name
These are kept purely for your own reference. Adding them here doesn't send or pay anything — it's simply a tidy place to store the information.
Step 5: Add statutory details (India)
If you're required to keep compliance numbers on file, enter them here:
- PAN
- Aadhaar
- UAN
- ESIC account number
- PF account number
All of these are optional to save the record. Filling them in now means they're stored against the person and ready whenever you need them.
Step 6: Save the record
Check the details, then click Save.
The new person now appears in your Employees list, ready to be used across People. You can reopen the record any time to add or change details.
What to check afterwards
- The person appears in the Employees list.
- Their name and department show correctly.
- The Employee ID has been assigned automatically.
Common questions
I don't have all the details yet — can I still save? Yes. Only the name is required. Save what you have and add the rest whenever it's ready.
Can I change the Employee ID? No — it's assigned automatically so every person stays unique. You don't need to manage it yourself.
Someone's details changed after I saved. That's normal. Open the record from the Employees list and update it — see Viewing and editing employees.
