Playbooks

A playbook is a short, reusable instruction that tells the in-product assistant how to help with a particular task — how to answer a question your team asks often, or the steps to follow for a routine request. You write it once, approve it, and the assistant then gives everyone the same, correct help.

What is a playbook?

Think of a playbook as a note you leave for the assistant: "when someone is working on this kind of document and this situation comes up, suggest this." Each playbook has:

  • A trigger — the situation it applies to, such as working on a particular kind of document.
  • A suggestion — a short title and a plain-language message the assistant offers when that situation comes up.

The assistant, Neo, only offers the suggestion. Your team member stays in control and decides whether to act on it — the assistant never makes a change on its own.

Why use playbooks?

  • Consistency — the same question gets the same good answer, whoever asks it.
  • Your way of working — capture how your business actually likes things done, not a generic default.
  • Less repetition — a routine reminder or next step is offered automatically, so nobody has to remember it.

Who creates and approves them?

An administrator. Every playbook is reviewed and approved by an admin before the assistant is allowed to use it. Nothing your team has not signed off on is ever shown as guidance.

What comes ready to use?

Bizconnekt ships with a set of ready-made playbooks for common situations, so the assistant is helpful from day one. You can use these as they are. On top of them, your admins can add playbooks that are specific to your business — these sit alongside the ready-made set, and where both cover the same situation, your own instruction takes priority.

Where do suggested playbooks come from?

To save you starting from a blank page, Bizconnekt can propose new playbooks for you to consider. A proposal may come from:

  • A document you provide — for example, a standard operating procedure. Bizconnekt reads it and drafts playbooks from its instructions.
  • Patterns in how your team already works — repeated steps that look like they could be offered as a helpful suggestion.

A proposal is only ever a draft. It waits in a review list and does nothing until an admin reads it and approves it. This is the important safeguard: suggestions never go live automatically.

How do I review and approve playbooks?

  1. Open Settings → AI → Playbooks.
  2. Open the review list to see playbooks waiting for approval.
  3. For each one, read the suggestion and the note showing where it came from (for example, the document or activity it was drawn from).
  4. Edit the wording if you want to change how it reads.
  5. Approve it to make it active, or set it aside if it is not right for your business.

Once approved, the playbook becomes active and the assistant may start offering it. You can retire a playbook later so it is no longer used.

How do I add my own playbook?

  1. Open Settings → AI → Playbooks.
  2. Choose Add.
  3. Fill in:
    • The situation it applies to.
    • The suggestion — a short title and the message the assistant should offer.
  4. Approve it to make it active.

The assistant then offers your suggestion to the right people, in the right situation, from then on.

Does it work in more than one language?

Yes. A playbook's suggestion can be provided in more than one language — English, Hindi and a mix of both — so your team is helped in the language they work in, while the instruction behind it stays the same.

Does the assistant learn which suggestions are useful?

Bizconnekt keeps track of how often each suggestion is shown and how often people find it helpful. Over time, the most useful playbooks are favoured and the ones your team consistently ignores are surfaced to you, so you can refine or retire them. You stay in charge of what is active.
