How Business Reports Work

Data Flow

  1. Real-time updates as transactions are recorded in purchase, sales, or finance modules
  2. Automatic calculations for aging, balances, and financial statement line items
  3. Instant visibility without waiting for batch processing or end-of-day updates
  4. Drill-down capability to trace any number back to source documents

Report Structure

Accounts Payable & Receivable

These aging reports categorize outstanding amounts into time buckets:

  • Open (within due date) - Amounts due but not yet overdue
  • 0-15 days delay - Recently overdue, requiring attention
  • 15-30 days delay - Moderately overdue, needs follow-up
  • 30-60 days delay - Significantly overdue, escalation needed
  • 60+ days delay - Severely overdue, collection action required

Each row displays the bill or invoice number, party name, transaction date, due date, amount, current balance, and calculated delay days.

Balance Sheet

Structured in standard accounting format showing:

  • Assets - Current assets, fixed assets, and tax assets with hierarchical breakout
  • Liabilities - Current liabilities and tax liabilities grouped by type
  • Equity - Owner's equity, retained earnings, and current period earnings

Total assets balance against total liabilities plus equity, confirming accounting integrity.

Profit & Loss

Organized by revenue and expense categories:

  • Income - Sales revenue, service revenue, other income streams
  • Cost of Goods Sold - Direct material and production costs
  • Operating Expenses - Categorized by expense type with detailed breakout
  • Non-Operating Items - Interest, depreciation, other non-operating entries

Calculates gross profit, operating profit, and net margin with clear intermediate totals.
