How Inventory Reports Work

Real-Time Stock Tracking

  1. Automatic updates as goods receipts, sales orders, and stock movements are recorded
  2. Reserved quantity calculated from open sales orders and delivery challans
  3. Available quantity shows unreserved stock free to promise
  4. Ordered quantity aggregates incoming stock from pending purchase orders

Understanding Stock Status

Quantity Types Explained

Reserved Quantity represents stock already committed to customer orders or in-process deliveries. This inventory cannot be promised to new customers without risking fulfillment failures on existing commitments.

Available Quantity shows free stock not yet reserved for any orders. Sales teams can promise this inventory to new customers immediately. Available quantity equals total stock minus reserved quantity.

Ordered Quantity tracks inventory you've purchased but not yet received. Purchase orders in approved or in-transit status contribute to ordered quantity. Use this to understand incoming stock that will replenish available inventory.

How Reserved Stock Works

The system automatically reserves inventory when sales orders are created or confirmed. Reserved quantity increases when new orders are placed and decreases when goods are shipped and delivery is recorded.

Available quantity provides the true sellable stock figure accounting for existing commitments. Selling beyond available quantity creates backorder situations requiring coordination between sales and procurement teams.

Ordered quantity visibility prevents duplicate ordering. Before creating new purchase orders, check ordered quantity to see if replenishment is already in the pipeline from existing POs.

Multi-Location Inventory

Location-Based Tracking

Businesses with multiple warehouses or facilities track inventory separately at each location. The location filter lets you view stock at individual sites or aggregate across all locations.

Select all locations shows company-wide inventory totals summing quantities across every warehouse, useful for enterprise-level stock visibility.

Select specific location displays inventory at that single warehouse or facility, helping local warehouse managers track their stock responsibility.

Stock Distribution Strategy

Available quantity at different locations helps optimize fulfillment. Check which warehouse has stock closest to the customer for faster delivery and lower freight costs.

Reserved quantities by location reveal fulfillment commitments at each facility. Balance the stock reserved for sales orders across warehouses based on stock levels and customer proximity.

Quick Tips

Best Practices

Check available quantity before promising delivery dates to customers rather than relying on total stock which includes reserved inventory.

Run location-specific inventory reports when planning stock transfers between warehouses to balance inventory based on regional demand.

Monitor items with high reserved quantity and low available quantity to identify potential stockout risks requiring urgent replenishment.
