Packing Lists in Bizconnekt: Pack a Delivery into Boxes and Pallets
A packing list records how a delivery is packed: which boxes and pallets there are, what is inside each, and how much they weigh. You build it from the delivery challan (or the invoice that sends the goods) and then print a packing slip to travel with the goods and labels to stick on each package.
Availability depends on your plan and your role. Packing lists are part of Packages and labels, which a Bizconnekt staff member switches on for each business unit. If you can't see Packing Lists under Sales, or you see a message that Packages and labels isn't switched on, ask your administrator or contact support at support@bizconnekt.com.
Where packing lists come from
You never create a packing list from the Packing Lists screen. You make one from the document that sends the goods:
- A delivery challan, or
- An invoice that moves goods itself.
Open the document and press Pack. The button isn't shown if packing isn't switched on for your business unit, if your role can't see packing lists, if the document is cancelled or void, or on an invoice that only bills goods a challan already sent. Pack those goods on the challan instead.
There is one packing list for each challan or invoice. It takes the customer and sales order from the document, so you never type them again.
Create a packing list and add packages
- Open the delivery challan (or invoice) and press Pack. A Packing panel slides in. When the list exists its number and status show at the top, with the document, customer and sales order underneath.
- Choose a Package type, such as a box or a pallet, then scan or type an item, lot or box label into Scan and press Enter (or press Pack as proposed). Use Qty if you need a quantity other than one, in the item's own stock unit. The first scan creates the packing list and its first package.
- The panel tells you Scans go into the current package. After the first one, press New package to start another.
- Repeat for each package. To put one package inside another, select the outer package (Pack into this) and press New package inside it. You can also drag a package onto another, or onto Drop a package here to take it out to the top level.
If your items already say how they are packed (for example 12 to a box, 10 boxes to a pallet), Bizconnekt offers to do it for you: The items' packing levels make N packages of what is not packed yet. Press Pack as proposed. If an item has no package type you'll be asked to choose one first.
Under On this document you see, for each item, the quantity on the document, how much is Packed, and how much is Left. You're done when nothing is left.
Work on a package
Each package in the list has its own buttons:
| Button | What it does |
|---|---|
| Pack into this | Makes this package the one new scans go into. |
| Seal | Closes the package. An empty package can't be sealed: put goods in it, or unpack it. If you typed a Weighed gross and chose a Weight unit first, the weight is recorded with it. A weight needs its unit. |
| Unpack | Takes the package apart so its contents can be packed again. |
| Label | Prints this package's label. |
| Take out | Removes one item line from the package. |
| Customer code | Where a package needs your customer's own code, type it and press Set, or Remove to clear it. The panel counts how many packages still need a code. |
When a package's numbering changes (for example after you move packages around), the panel says Numbering changed for these packages: reprint their labels and offers Reprint changed labels.
Confirm, print and dispatch
Along the bottom of the Packing panel:
- Packing slip — opens a preview of the packing slip you can print or save as a PDF.
- Print labels — prints the labels for every package on the list.
- Confirm packing — fixes the list as final and moves it from Draft to Packed. It's offered once at least one package exists.
- Mark dispatched — offered only once the list is Packed. It locks the packing. Use it when the goods leave without a dispatch record in Bizconnekt.
Statuses
| Status | What it means |
|---|---|
| Draft | Packing is under way. You can still add, move and unpack. |
| Packed | You confirmed packing. If you change anything now, the list is reopened as Draft and you confirm it again so the package numbers and labels are right. |
| Dispatched | You pressed Mark dispatched (offered once the list is Packed). Packing is locked: the shipment was dispatched. It can't be changed or deleted. |
| Cancelled | The challan or invoice it packs was cancelled, voided or deleted. This packing list was cancelled with its document. |
View and print a packing list
Open Sales and choose Packing Lists. Each row shows:
- Packing List — its number.
- Packs — the challan or invoice it packs.
- Customer.
- Packages — how many top-level packages.
- Gross Weight.
- Status.
- Sales Order and Updated At are also available. Turn them on from the column chooser.
Use Search (by number, document or customer) and the Status filter (Every status by default) to narrow the list. If there are none you'll see No packing lists yet, and if a search or filter matches nothing, No packing lists match these filters.
Click a row, or its View button, to open the packing slip beside the list. From there:
- Use Print Preview to print the slip.
- Press Open packing to reopen the Packing panel and change the list. If you only have View on packing lists you can look but not pack: You can view this packing list. Packing needs Edit on packing lists.
- Press Delete to remove a list that hasn't been dispatched. Its packages are taken apart; the challan or invoice itself isn't changed.
How it relates to the sales order and the delivery
- Sales order. The packing list carries the sales order of the delivery it packs, shown in the panel heading and the optional Sales Order column.
- Delivery challan or invoice. The list is attached to the document it packs. Packing doesn't change the document's quantities, amounts or status. If you later edit the challan or invoice so that it no longer matches what was packed, Bizconnekt stops you saving and names what no longer fits. Deleting, cancelling or voiding the document cancels the packing list.
- Dispatch. When the challan or invoice is dispatched, the packing list is locked too, even if its status still reads Packed or Draft.
Common questions
I can't find a Pack button on my invoice. It only shows on invoices that move the goods themselves. If a challan already sent them, pack on the challan.
I pressed Confirm packing too early. Make the change you need. The list goes back to Draft and you confirm it again. Once it's Dispatched it's locked.
Where did my packing list go after I deleted the challan? It's kept, with the status Cancelled.
