How to Record Attendance for a Day
Recording attendance writes one line to your register — one person, one day — noting when they were in, the hours they worked, the shift they were on, and whether they were present or absent. You can do it for a single person or for several at once.

Before you start
- The people you want to record must already exist as employees.
- If you work with shifts, it helps to have your shifts set up first, so the expected hours fill in for you.
Step 1: Open Attendance
From the People area, open Attendance, then choose to record a new day. A fresh entry opens with today's date already filled in.
Step 2: Pick the person (or people) and the date
- Employee — choose the person this record is for. If you're recording the same day for several people, you can select more than one and enter the day once for all of them.
- Date — the day this record covers. It starts on today; change it with the date picker if you're catching up on an earlier day.
Step 3: Enter the times and hours
Fill in as much as you track — you don't need every box.
- Present from / to — the clock times the person came in and left, for example 9:00 to 18:00.
- Regular hours — the normal hours worked that day.
- Overtime hours — any extra hours beyond the normal day. Leave it blank if there weren't any.
Step 4: Choose the shift and check expected hours
- Shift — the working window the person was on. Choosing a shift fills in the expected hours for the day, so you have something to compare against.
- Expected hours — the hours the day was meant to be. It fills in from the shift; adjust it if this particular day was different.
Step 5: Set the status
- Status — the short verdict for the day, such as present or absent. To record an absence, simply set the status to absent — there's nothing else to file.
Step 6: Add notes (optional)
- Notes — anything worth remembering: a late start, a half day, or the reason for an absence. This is free text.
Step 7: Save
Check the day reads the way you expect, then save. The record now appears in your attendance list, where you can look it up or correct it later.
A few common situations
| Situation | What to do |
|---|---|
| Same day, many people | Select several employees in Step 2 and enter the day once. |
| Someone was absent | Set the status to absent; the times and hours can be left blank. |
| Extra hours worked | Enter them in overtime hours, separate from regular hours. |
| Catching up on last week | Change the date to the past day and record it as normal. |
| Lots of days from a device or sheet | Don't type them one by one — use bulk import. |
After you save
- The record shows in the attendance list, where you can filter, open and edit it.
- If you record against shifts, check the day against what was expected — see reconciliation.
