Days Outstanding Metric

Understanding Days Outstanding

Days Outstanding calculates the number of calendar days between the Order Date and today's date. This metric helps identify:

  • Orders aging beyond normal lead times requiring investigation
  • Supplier performance patterns when compared across multiple orders
  • Priority for follow-up with higher days outstanding needing attention first
  • Planning accuracy by comparing days outstanding to expected delivery date

Calculation: Today's Date - Order Date = Days Outstanding

Example: Order placed on 29-09-2025, today is 07-10-2025 = 8 days outstanding

Analyzing Outstanding Orders

Priority Follow-Up List

Sort or filter orders to create follow-up priority:

  1. Critical Priority: Status = Expired AND Days Outstanding > Expected Lead Time
  2. High Priority: Expected Delivery Date within next 3 days AND Status = Open
  3. Medium Priority: Partial Fulfilled status with high remaining value
  4. Low Priority: Open status with delivery date still weeks away

Contact suppliers in priority order to expedite deliveries and resolve delays.

Supplier Performance Tracking

Filter by specific supplier to review their outstanding orders:

  • Count of orders with Expired status indicates reliability issues
  • Average days outstanding versus promised lead time shows performance gap
  • Pattern of Partial Fulfilled status suggests capacity or quality problems

Use this analysis during supplier review meetings and performance evaluations.

Drill-Down Capability

Viewing Order Details

Click any PO# link to open the complete purchase order showing:

  • Line items with ordered quantities and received quantities
  • Delivery address and special instructions
  • Supplier contact information
  • Payment terms and conditions
  • Linked goods receipt notes (GRN) if partially received
  • Communication history and follow-up notes

Verify which specific items are outstanding from a partially fulfilled order to focus supplier follow-up conversations.

Common Scenarios

Scenario 1: Weekly Delivery Follow-Up

Every Monday morning, run the report filtered by Expected Delivery Date = This Week and Status = Open or Partial Fulfilled. Review the list to identify orders requiring proactive supplier contact. Send delivery confirmation requests for orders due in 2-3 days to avoid last-minute surprises.

Scenario 2: Overdue Order Escalation

Run report filtered by Status = Expired to identify overdue deliveries. Sort by Days Outstanding descending to prioritize oldest delays. Contact suppliers immediately on orders critical for production. Document delay reasons and request revised delivery commitments with explanations.

Scenario 3: Production Planning Material Availability

Production planner runs report before scheduling weekly production. Reviews outstanding orders for required raw materials. Cross-checks expected delivery dates against production schedule. Adjusts production plan if critical materials show expired status or excessive days outstanding.

Scenario 4: Month-End Outstanding Commitment Reporting

Finance team runs report at month-end showing all Open and Partial Fulfilled orders. Calculates total outstanding order value for management reporting. Compares to prior month-end to track trend in outstanding commitments. Identifies suppliers with unusually high outstanding values requiring attention.

Managing Partial Fulfillments

Understanding Partial Status

Partial Fulfilled indicates supplier made some delivery but full order remains incomplete. This requires careful monitoring because:

  • Remaining material still needed for operations
  • Invoice reconciliation complicated by multiple deliveries
  • Storage and handling multiplied across shipments
  • Risk of remainder never arriving if not tracked

For each partial fulfillment, verify which line items remain outstanding and obtain supplier commitment on remainder delivery date.

Export and Sharing

Export the report to share with stakeholders:

  • Purchase Team - Daily/weekly follow-up list
  • Production Planning - Material availability planning
  • Management - Outstanding commitment summary
  • Suppliers - Order status review during QBR meetings

Excel export allows additional analysis like calculating aging buckets, supplier comparison charts, and value-weighted priority scoring.

Integration with Other Processes

Goods Receipt Process

Outstanding orders flow into the goods receipt process:

  1. Supplier ships material
  2. Receiving team uses outstanding PO report to expect delivery
  3. Upon receipt, GRN created against PO
  4. Order moves from Open → Partial Fulfilled or Fully Fulfilled
  5. Order exits outstanding report when fully received

Accounts Payable

Outstanding orders represent committed but not yet received (and billable) amounts:

  • Outstanding order value ≠ accounts payable liability
  • Only received goods (GRN created) become accounts payable
  • Outstanding orders = future cash requirement, not current liability
  • Track outstanding to forecast upcoming payment obligations

Quick Tips

Best Practices

Run this report every Monday with Status = Expired to catch overdue orders early in the week when suppliers are most responsive.

Set up a weekly routine to review orders with expected delivery "This Week" on Mondays to proactively confirm deliveries before they become urgent.

Export the report monthly and compare month-over-month to identify if outstanding orders are growing, indicating supplier issues or planning problems.
