Accounting Period Lock

Added July 2026

Close your books through a date. Once a period is locked, any transaction dated on or before the closing date can no longer be created, edited or deleted — across invoicing, bills, journals, payments, expenses, notes and inventory. Backdated entries into a closed period are impossible, no matter how they arrive.

The lock is set per business unit, so each branch or entity can close on its own schedule.

Go-live dates

The same page opens with a Go-live dates section, above the lock. It sets the day your business starts on Bizconnekt. Stock movements and accounting entries can't be dated before it, and anything you enter from before that day is treated as an old document: it can be entered so receipts, payments, notes and returns can link to it, but it doesn't go into your books. Only an organisation admin can see and change these dates.

The section shows two dates:

  • Stock start date — your opening stock is counted on this day. No stock can move before it.
  • Accounting go-live date — your books start on this day. For now it is always the same day as the stock start date, so you set one date and the other follows it.

Until a date is set the section says "Not set. Nothing is restricted until you set a date."

Set the go-live date

  1. Open Configuration → Finance → Accounting Period.
  2. In Go-live dates, pick the Stock start date.
  3. Click Save go-live dates, then confirm Set go-live in the dialog.

The page shows Last changed by with the person and time of the last save.

When the dates lock

You can correct the dates until the first stock or accounting entry is posted on or after them. From then on they are locked and cannot be moved later, because moving them would shift posted entries in or out of the books. A locked section lists the entries that locked it, with their ledger (Books or Stock), document, number and date. There is no way to clear a date once it is set.

If a save is refused, the page tells you why and lists the documents involved, so you can see what is in the way:

  • A stock or accounting entry is already posted before the date you picked.
  • Old documents are standing in the way of the change.

What happens to documents around the date

  • A document dated before go-live is an old document. The date decides this; there is no checkbox. See Entering documents from before go-live.
  • A document awaiting approval can't have its date moved across go-live. Cancel it and enter it again.

Set or move the closing date

In the Admin console, open Configuration → Finance → Accounting Period.

  1. Turn on Lock the books.
  2. Pick the Closing date. Everything dated on or before this day is locked; the first open day is the day after.
  3. Click Save.
  • Close the next period: move the closing date forward and save.
  • Reopen a period: move the date back (or turn the toggle off) and save.
  • The page shows Last changed by so you can see who set the current lock.

Saving with the lock on but no date selected is blocked — a closing date is required.

What gets blocked

The lock applies to every document that posts to your books, each judged by its own document date:

Invoice · Bill · Credit Note · Debit Note · Payment Received · Payment Made · Expense · Reimbursement · Journal · Goods Receipt Note · Delivery Challan · Sales Return · Purchase Return · Stock Adjustment · Stock Conversion

Non-posting documents — Quotations, Sales Orders, Purchase Orders, Leads, Enquiries, Requisitions — and master data are not blocked, since they don't touch the ledger.

The lock applies no matter how a document is entered — typed in a form, brought in by bulk import, or drafted with Neo. The only way to post into a closed period is for an administrator to move the closing date.

What your team sees

A user who tries to save, edit or delete a document dated inside a closed period gets a clear message:

"This accounting period is closed. The books are locked through [date]; documents dated on or before that date cannot be created, edited, or deleted. Ask an administrator to move the closing date if you need to post into this period."

Nothing is partially applied — the write is rejected as a whole.
