How to View a Job Order

Opening a Job Order shows you where it stands and lets you do the two things that move it along: dispatch the material to the vendor, then receive the output back. If you haven't created one yet, start with Add a Job Order.

The stages, and what each one means

A Job Order moves through a clear set of stages so you always know where it is:

In ProcessThe vendor is working on it.
Partially / Fully ReceivedSome or all of the output has come back.
ClosedThe job is done and settled.

Because you can dispatch in parts and receive in parts, a job can sit at, say, Partially Received — some output back, more still to come.


Step 1: Open the Job Order

From the left sidebar, open Production, go to Job Order, and click the job you want. The view shows its current stage, the vendor, the material to send, and the expected output.


Step 2: Dispatch the material

When it's time to send the material out, use the dispatch action:

  • Confirm the items and quantities you're sending. You can send everything at once, or part of it now and more later.
  • Save the dispatch.

The material moves to the vendor's location. Remember: it's still your stock — nothing is sold or used up, it's just sitting with the vendor. The job moves to Partially Dispatched or Fully Dispatched depending on how much you sent.


Step 3: Receive the output

When the vendor sends work back, use the receipt action:

  • Enter the output items and quantities you're receiving — the transformed item, or the same item after the operation.
  • Save the receipt.

The output comes back into your stock, and the job moves to Partially Received or Fully Received.

You reconcile what you receive against what you dispatched, not against the quantity the order was raised for. If you sent material for 80 of a planned 100, you match the return against that 80.


Step 4: Close the job

When all the output is back and the job is settled, it reaches Closed. A closed Job Order stays in your records as the full history of what you sent, what came back, and when.


After you receive

  • The output is now in your stock, ready to sell, use or send onward.
  • Any material sent but not turned into output can be returned to a store with a Material Receipt.
  • The job's stage reflects exactly how much has been dispatched and received.

Common questions

The vendor returned less than I sent — is that a problem? Not by itself. Receive what actually came back; the job reconciles the return against what you dispatched. If material is genuinely missing, correct your counts so they match reality.

Can I dispatch again after a partial dispatch? Yes. Keep dispatching until the material is fully sent — the stage updates each time.

Was my stock reduced while it was out with the vendor? No. It stayed yours at the vendor's location the whole time. It only settles when the output is received.
