Understanding the Report

Report Structure

The report displays as a customer-grouped table with the following structure:

Customer Row (main row, shows customer summary):

  • Customer Name (bold)
  • Multiple SO# entries listed vertically
  • Order Status for each SO
  • Total Order Value for that customer

Key characteristics:

  • Orders are grouped by customer
  • Each customer may have multiple sales orders
  • Customer name appears once with all their orders listed underneath
  • Order values are summed per customer where applicable

Report Columns

ColumnDescriptionExample
Customer NameCustomer business name (grouped header)AMAR ENTERPRISES, Connaught Place INvent, s4s
SO#Sales Order number (clickable link)SO-1003, SO-1005, SO-999
Order StatusCurrent fulfillment statusFully Fulfilled, Partial Fulfilled, Open, In Review
Order ValueTotal order amount (may show per customer)₹1,18,236.00, ₹48,85,672.00, ₹2,14,630.00

Understanding the Customer Grouping

Customer Name Header

Orders are grouped by customer, with the customer name appearing as a bold header row. All orders for that customer are listed below their name.

Example from report:

AMAR ENTERPRISES
- SO-1003 (Fully Fulfilled)
- SO-1005 (Partial Fulfilled)
Order Value: ₹1,18,236.00

Connaught Place INvent
- SO-999 (In Review)
- SO-1000 (Open)
- SO-1001 (Open)
- SO-1002 (Partial Fulfilled)
Order Value: ₹48,85,672.00

This grouping allows quick assessment of:

  • Which customers have multiple pending orders
  • Total business volume per customer
  • Fulfillment performance by customer account

Multiple Orders per Customer

When a customer has multiple orders, each order appears on its own line with its specific SO# and status. The order value shown may represent:

  • Individual order value (if shown per line)
  • Total for all orders from that customer (if shown once)

Understanding Order Statuses

Fully Fulfilled

All line items in the order have been delivered to the customer. The physical delivery is complete, though invoicing or payment may still be pending.

Use case: These orders may need invoice generation if not already billed.

Partial Fulfilled

Some line items delivered, others still awaiting shipment. This status indicates the order is in progress with mixed fulfillment across different items or quantities.

Use case: Requires warehouse coordination to complete remaining deliveries.

Open

Order created and approved but no items have been shipped yet. The order is waiting to begin fulfillment process.

Use case: Priority for warehouse picking and packing operations.

In Review

Order submitted but pending approval, verification, or some other review process before fulfillment can begin. May require manager approval, credit check, or pricing verification.

Use case: Requires action from approver or admin to move forward.

Working with Report Data

Example Scenarios

Scenario 1: Daily Operations Review

Run report each morning filtered by Open and Partial Fulfilled statuses. This shows all orders requiring fulfillment attention today. Print or export the list for warehouse team to prioritize picking and packing activities.

Example:

  • Connaught Place INvent has SO-1000 and SO-1001 both Open
  • These become top priority for warehouse operations

Scenario 2: Customer Service Inquiry

Customer "AMAR ENTERPRISES" calls asking about their pending orders. Run report filtered by their name (if filter available) or search exported data. Instantly see:

  • SO-1003: Fully Fulfilled (ready for pickup/delivered)
  • SO-1005: Partial Fulfilled (some items shipped, some pending)

Provide accurate status without navigating multiple screens.

Scenario 3: End-of-Week Fulfillment Review

Every Friday, run report for the week to analyze fulfillment performance:

  • Count how many orders moved from Open to Fulfilled
  • Identify customers with multiple Partial Fulfilled orders (potential issue)
  • Calculate percentage of orders completed on time

Scenario 4: Large Customer Analysis

Export the report and filter by customers with order values above ₹10 lakhs. These are key accounts requiring special attention:

  • Connaught Place INvent: ₹48,85,672 total value
  • Monitor their fulfillment closely
  • Ensure no delays on high-value orders

Identifying Bottlenecks

Multiple Partial Fulfilled Orders

If one customer shows several orders in Partial Fulfilled status, this may indicate:

  • Inventory shortages affecting multiple orders
  • Production delays impacting multiple shipments
  • Logistics issues requiring resolution

Example: If Connaught Place INvent had 3 orders all showing Partial Fulfilled, investigate common items causing fulfillment delays.

Old Open Orders

Run report by date range for orders over 30 days old. If orders still show "Open" status after a month, investigate why fulfillment hasn't started. Possible causes:

  • Credit hold on customer account
  • Custom manufacturing delay
  • Awaiting customer specification clarification

In Review Backlog

Multiple orders stuck "In Review" indicate approval process bottlenecks. Escalate to managers for faster approvals to unblock sales pipeline.

Customer Value Analysis

Total Order Value

The Order Value column shows aggregate value for each customer's orders, helping identify:

High-Value Customers

  • Connaught Place INvent: ₹48,85,672 (major account requiring priority)
  • These customers deserve premium service and attention

Order Concentration

  • Single customer with very high value may indicate over-dependence
  • Diversification analysis for business risk management

Fulfillment Priority

  • Higher value orders may warrant expedited processing
  • Balance between order size and delivery promise

Export and Analysis

Exporting Data

Analysis suggestions:

  • Count orders per status to calculate fulfillment rate
  • Calculate average order value by customer
  • Identify customers with longest fulfillment times
  • Track status changes week-over-week

Quick Tips

Best Practices

Run this report daily filtered by "Open" status to create the warehouse fulfillment priority list for that day's shipping activities.

Export weekly and track how many orders move from Open → Partial Fulfilled → Fully Fulfilled to measure fulfillment velocity and identify slowdowns.

Focus on customers with multiple Partial Fulfilled orders as they may be experiencing service issues requiring proactive communication.

Use customer grouping to prepare consolidated shipments when multiple orders for one customer are ready simultaneously, saving freight costs.
