Understanding Key Fields
SO# (Sales Order Number)
Unique identifier for each sales order. Clicking the SO# link navigates to the detailed sales order view showing complete line items, customer details, shipping information, and transaction history.
Format typically follows: SO-#### where #### is a sequential number.
Customer Name
Full business name of the customer as registered in the customer master. Orders are listed individually even if multiple orders exist for the same customer, allowing line-by-line analysis of order details.
Order Date vs Delivery Date
Order Date records when the customer placed the order and it was entered in the system.
Delivery Date shows the committed delivery date promised to the customer. Compare these dates to identify long lead times or urgent orders requiring expedited processing.
Same dates indicate same-day delivery commitments. Different dates show planned delivery schedules.
Status Badge
Visual indicator of order fulfillment progress:
Open (typically shown in gray/default badge) - Order created but no items shipped yet. Full order value remains to be fulfilled.
Partial Fulfilled (shown in status column) - Some items delivered to customer, some items still pending shipment. Mix of fulfilled and open line items.
Status helps prioritize which orders need fulfillment attention and which are progressing normally through the delivery pipeline.
SO Amount
Total value of the sales order including all line items, discounts, and GST. This is the complete revenue commitment from the customer for this order.
The amount includes:
- Base item value (quantity × rate)
- Any line-item or order-level discounts applied
- Applicable GST at configured rates
- Shipping charges if included
This represents the total invoice value when the order is fully billed.
Unbilled Amount
The portion of the SO Amount not yet converted to customer invoices. This tracks the billing pipeline and pending revenue recognition.
Calculation: Unbilled Amount = SO Amount - Invoiced Amount
High unbilled amounts indicate:
- Orders delivered but not yet invoiced (revenue recognition pending)
- Partially delivered orders (unbilled portion awaiting fulfillment)
- Orders with delayed invoicing requiring attention
Zero unbilled amount means the order is fully invoiced (but payment may still be pending).
Working with Report Data
Example Scenarios
Scenario 1: Weekly Billing Pipeline Review
Filter by orders from the past month with any unbilled amount. Sort by unbilled amount descending to prioritize large unbilled orders. Create invoices for fully delivered orders showing high unbilled balances.
Example from report:
- SO-1005 to AMAR ENTERPRISES shows ₹90,000 unbilled from ₹1,18,000 total
- SO-1002 to Connaught Place shows ₹35,40,000 unbilled from ₹47,20,000 total
Both orders require invoice generation to recognize revenue.
Scenario 2: Large Order Tracking
Use amount range filter with Start Amount ₹5,00,000 to view only major orders. Monitor these high-value orders closely for delivery performance and customer satisfaction. Export the list for executive reporting.
Scenario 3: Delivery Performance Analysis
Run report for last quarter. Compare Order Date to Delivery Date columns to calculate average delivery lead time. Identify orders where delivery date has passed but status remains "Open" - these are delayed orders requiring escalation.
Scenario 4: Customer Order Frequency
Export the full report. Use Excel to count orders per customer and calculate average order values by customer. Identify customers with high order frequency for relationship management priority.
Export and Analysis
Exporting Data

Footer Information
Report footer displays:
"Values marked with an asterisk (*) include GST."
