How to Create a Stock Adjustment

Overview

Creating a Stock Adjustment corrects the book count so it matches what is physically on the shelf. You pick the location, list the items, and either enter the true counted quantity or the amount to add or remove, along with a reason. The adjustment always goes through — it records the physical truth and is never blocked by reservations.

Prerequisites

  • You have permission to create stock adjustments.
  • The site (and store, if you use stores) where the count is wrong already exists.
  • The items you are adjusting already exist.
  • You know the real figure: either the counted quantity now on the shelf, or how much to add or remove.

Step-by-Step Guide

Step 1: Open the Stock Adjustment form

From the left sidebar, open Stores & Inventory and choose Stock Adjustment.

On the Stock Adjustment list, click + Add Stock Adjustment. A new adjustment opens with a reference number and today's date filled in.


Step 2: Choose the location

Location (Required)

  • The site where the count is being corrected.
  • Pick it from the dropdown. This decides which stock the adjustment applies to.

Store (Optional)

  • The specific store within the site, if you track goods down to the store.
  • Leave it blank to adjust the site's unassigned stock, or pick a store to correct one particular place.

Step 3: Set the date and reason

Date (Optional)

  • The date the correction applies.
  • Defaults to today; change it if the count reflects an earlier day, such as a stock-take date.

Reason / Remark (Required)

  • Why the count is being changed — "damaged in handling", "shortage found at stock-take", "count correction".
  • This is the record of why the number moved. Be specific; it is what you and your team will read later.

Step 4: Add the items to correct

For each item whose count is wrong, add a line:

Item (Required)

  • Pick the item from the dropdown. Search by name or code.

Corrected / Counted Quantity, or the +/- change (Required)

  • Enter either the true quantity now on the shelf, or the change to apply — how much to add or remove.
  • An adjustment can push a count up (goods found, a previous under-count) or down (damage, loss, an over-count).

Adding more items

  • Click the (+) icon to add another line, and repeat.
  • Add as many item lines as the correction needs.

Step 5: Review and save

Before saving, check:

  • The location (and store) is the place the count is actually wrong.
  • Each item's corrected figure matches what you physically counted.
  • The reason clearly explains the change.

Save the adjustment. The book count updates to match the shelf.

If lowering a count leaves an accepted order promising more than you now hold, that order is flagged "short" so you can act on it. The adjustment still goes through — it records the physical truth first.

Common Issues & Solutions

Issue: I'm not sure whether to enter the total or the change

  • Solution: Enter the counted quantity if you have physically counted the shelf and know the true total. Enter the +/- change if you only know how much was lost or found.

Issue: An order got flagged "short" after I lowered a count

  • Solution: That is expected, not an error. You now hold less than was promised. The adjustment records the truth; the flag is there so you can chase more stock, tell the customer, or re-plan.

Issue: I picked the wrong location and adjusted stock that was fine

  • Solution: Create a second adjustment that reverses the change at the wrong location, then record the correct one. Each adjustment is its own record of what changed.

Issue: The goods aren't lost — they're at another site

  • Solution: Don't adjust them away. Use a Stock Transfer to move them to the right site so the value follows the goods.

Verification Checklist

  • The adjustment appears in the list with the right location and date.
  • Each item's on-hand count now matches what you physically counted.
  • The reason clearly records why the change was made.
  • Any order left short after a decrease has been reviewed and acted on.
