Packing Units and Levels
An item is stocked in one unit — pieces, say. But you may sell it by the box and buy it by the carton. Packing units let an item say how many stock units are in each of those, and let you enter a document line in that unit. Stock always moves in the item's own unit: 12 boxes of 10 pieces moves 120 pieces.
Availability depends on your plan and your role. The Packing levels part of the item form appears when Packages and labels is switched on for your business unit (or when the item already has levels).
On the item form: Packaging units
On the item form, directly under the item's UOM, there is an optional block called Packaging units (optional). Pick the item's UOM first — the block stays unavailable until you do. An item that is not packed needs nothing here.
Sell in and Buy in
| Row | What it does |
|---|---|
| Sell in | The unit this item is sold in, for example BOX. |
| Buy in | The unit this item is bought in, for example CTN. |
For each, pick the unit and then say how many stock units one of it holds: 1 BOX = 10 NOS. The factor must be more than zero. A change applies to new documents only; saved documents keep the pack size they were made with.
Packing levels
When Packages and labels is on, a Packing levels section sits underneath. It describes how the item is packed, smallest first:
- Click Add a level.
- Pick the Level 1 unit, for example TRAY, and enter how many stock units it holds: 1 TRAY = 10 PCS.
- Add Level 2 — BOX — and enter how many of the level below it holds: 1 BOX = 10 TRAY. Bizconnekt shows what that comes to in stock units: = 100 PCS.
Each level also has:
- Sell in and Buy in tick boxes — untick one to keep the level out of that side's unit picker on documents.
- Packed in — the package type this level goes into, for example a tray. Left empty, it reads Any package.
- A remove button for the level. A Manage package types link opens the package types list.
The form tells you before you save if a level cannot work. For example:
- Level 1 needs a unit.
- Level 1: BOX is the item's own unit — pick a pack unit such as TRAY or BOX.
- Level 2: TRAY is already a level of this item.
- Level 2: enter how many TRAY one BOX holds. The number must also be more than zero.
- Level 2: BOX is 100 PCS here but 120 PCS as the sales unit above — one unit has one size. If a level uses the same unit as Sell in or Buy in, the two sizes must agree.
- Serial-numbered items move one piece at a time, so BOX cannot be a packing level.
On document lines: choosing a packing unit
The unit picker works on the lines of these documents:
| Selling side | Buying side |
|---|---|
| Sales Order | Purchase Order |
| Delivery Challan | Goods Receipt (GRN) |
| Invoice | Bill |
| Sales Return | Purchase Return |
Under the Qty box of a line whose item declares a packing unit, a Unit for this line list appears. It offers:
- the item's own unit, shown as, for example,
NOS; - the item's Sell in unit and Buy in unit, and
- the item's packing levels, smallest first — each shown with its size, such as
BOX — 100 NOS.
A sales document offers the Sell in side first and a purchase document the Buy in side first. A level you unticked for that side is not offered.
What happens when you pick a unit
- A new line opens in the item's unit for that side — a sales line in the Sell in unit, a purchase line in the Buy in unit — when the item has one.
- Your quantity is kept and the stock effect is shown under it:
= 120 NOSfor 12 boxes of 10. - The price follows the unit. Switching from NOS at ₹5 to BOX of 10 shows ₹50 per box, rounded to your rate precision. Switching back returns the rate you entered.
- Lots you already picked for the line are cleared, because they were chosen in the old unit. A warning says so — pick them again in the new unit.
- The quantity must fit the stock unit. If 0.25 boxes of 10 would be 2.5 pieces and the stock unit only takes whole numbers, a red message under the line says so, in the form Line 1: 0.25 BOX = 2.5 NOS; NOS takes whole numbers. Fix the quantity before you save.
When the unit is fixed for you
- Lines copied from another document keep that document's unit. The picker is locked and says, for example, Unit set by SO-0007.
- Stock-only documents use the stock unit. Stock transfers, job orders, stock adjustments, stock conversions, and delivery challans for job work or stock transfers move the item's own unit only. If a document turns into one of these, lines already in a packing unit move to the stock unit: the quantity becomes pieces and the price becomes a price per piece, and a message tells you how many lines changed.
- Serial-numbered items move one piece at a time and offer only their own unit.
Using a unit the item does not declare
A new line in a unit that is not the item's own unit, its Sell in or Buy in unit, or one of its levels is not accepted. The line shows the caution BOX is not a unit of item Widget. Use NOS or a unit declared on the item's packaging units. and saving a new line like that is refused with the same message. Lines carried over from another document, and documents saved earlier, are never refused for this. Add the unit to the item's packaging units first.
